“Hi friends and colleagues,

I hope all is well!

As many of you know, I have been at my current position as Account Executive for Smith PR for almost 3 years. I have recently decided to look for a new challenge in the public relations field and am reaching out to you to ask for your help with any leads or contacts.

I am looking for a mid-level public relations position in San Francisco, ideally in the tech or consumer products field. I am particularly interested in joining an agency, but would also consider interesting in-house work.

If you know of any job opportunities or leads that you might be able to share with me, please send them my way. Below, I have included a list of my past experience, my target positions, and my list of dream companies. I have also attached my resume for your reference, and feel free to pass it along.

Thanks in advance for your help! I hope you all are doing well and hope to catch up with you individually soon.”

“Hi Susan,

I hope all is well! I saw the photos of the conference you held last month on Facebook—it looked like a fantastic event.

I’m reaching out because I’m currently seeking a new position. As you know, I have been Smith PR for almost three years, but I’m ready for a new challenge in the tech PR world.

I know that you used to do work for Ogilvy, which is on my short list of dream companies. Do you still have any contacts there, and if so, is there someone that might be willing to do an informational interview with me? Any introductions you could make would be greatly appreciated.

In addition, if you know of any job opportunities or leads that you might be able to share with me, please send them my way. I’ve attached my resume for your reference, and feel free to pass it along.

Thanks in advance for your help! Please keep me posted on how things are going and if there’s anything I can do to return the favor.”

(Subject)

Introduction to [contact name] at [company name]

(Body)

Hi [contact name],

I hope you are well. I’ve recently been applying to jobs in [industry / job type] and discovered a position that would be a great fit: [position name with link to it] at [company name].

I noticed that you're connected to [target name], who is a [job title] at [company name], and was hoping that you could introduce us. If you feel comfortable doing so, your referral would mean a lot to me.

I’ve included a few lines on me below, as well as my resume, to provide context. Please let me know if there’s anything else I can provide that might be helpful.

Thank you so much in advance for your help,

[Your name]”

“Dear [name],

With the utmost enthusiasm, I would like to express my interest in the [position title] position at [company]. My interest in [field] has taken me from [experience] to [experience]. I believe that my passion for [aspect of your field or background], strong commitment to [aspect of your field or background], and interest in [aspect of your field or background] make me an ideal candidate to join the [department] staff at [company].

As a candidate, here’s what I could immediately bring to the table:

An effective [descriptor that reflects transferable skill #1]: In my role at [previous job], I [action or accomplishment]. I was also able to showcase my [skill] abilities as a [role] in [project name] project by [what you did].

A disciplined [descriptor that reflects transferable skill #2]: I have always displayed my careful approach to [job duty] by [action]. At [previous company], I frequently [action]. In addition, I had the opportunity to [action or accomplishment], which further shows my dedication to [aspect of your field].

A passionate [descriptor that reflects transferable skill #3]: Everything I have engaged in so far has all been driven by my keen interest in [aspect of your field]. Even as a [previous role], I made sure to dedicate some part of my day to [action]. It is this passion that has driven every one of my career decisions thus far.

I look forward to contributing my skills and experiences to the [position title] position at [company] and hope to have the opportunity to speak with you further about how I can be an asset to your team.

Sincerely,

[Your name]”

Thank You

(Body)

Hi [interviewer name],

Thank you so much for meeting with me today. It was such a pleasure to learn more about the team and position, and I’m very excited about the opportunity to join [company name] and help [bring in new clients / develop world-class content / anything else awesome you would be doing] with your team.

I look forward to hearing from you about the next steps in the hiring process, and please do not hesitate to contact me if I can provide additional information.

Best regards,

[Your name]”

“Hey [name],

Fantastic to connect with you today. Here’s a link to my [resume / portfolio / writing samples], as requested.

And hey—during our chat, you mentioned that [name of company] has been struggling with [describe a problem the company is having].

I had an idea-flash on my drive home, and I wanted to share a couple potential solutions with you.

Check out the attached document for [a list of new vendors to consider / taglines that might work with your new brand / social media guidelines that have worked really well for my current team / insert brilliant and helpful solution here].

Hope that helps. Please consider me a resource—I’d love to be of service.

All the best,

[Your name here]

PS I dropped a hand-written thank you note into the mail for you a few moments ago. I know it’s old school, but I think everybody secretly loves snail mail. I know I do.”

(Subject)

Following up on [position title] application

(Body)

Hi [hiring manager name],

I hope all is well. I know how busy you probably are, but I recently applied to the [position title] position, and wanted to check in on your decision timeline. I am excited about the opportunity to join [company name] and help [bring in new clients / develop world-class content / anything else awesome you would be doing] with your team.

Please let me know if it would be helpful for me to provide any additional information as you move on to the next stage in the hiring process.

I look forward to hearing from you,

[Your name]”

  • “Thank you so much for the offer for the Marketing Manager position. I so appreciate you taking the time to consider me and for answering so many of my questions about the company and role.”
  • “Thank you again for the interview last week—it was great to meet the team and see the offices. I enjoyed learning about the Operations Director position, and I appreciate this generous offer.”

Bước 2: Đưa ra một lý do ngắn gọn và hợp lý

  • “After careful consideration, I’ve decided to accept a position at another company.”
  • “After much thought, I’ve decided that now is not the best time to leave my current position.”
  • “While this position seems like a great opportunity, I have decided to pursue another role that will offer me more opportunities to pursue my interests in marketing and social media.”

Bước 3: Hãy giữ liên lạc

  • “I hope to see you next month at the conference we’re both attending.”
  • “It’s been a pleasure getting to know you, and I hope that we cross paths in the future.”
  • “Again, thank you for your time and support, and I wish you all the best.”

TRONG CÔNG VIỆC HẰNG NGÀY (IN THE OFFICE)

  • “Thanks so much for your email, [name]. There’s a lot to think about here. In the interest of getting back to you promptly, could you help me understand exactly what you’d like me to assist with?”
  • “Thanks so much for your email, [name]. Can you please give me a little more context on the situation here, and send over [the information about or data necessary to answer]? Once you send that over, I’ll be able to respond.”

  • “Thanks for reaching out, Sarah! Yes, our CMO is a fantastic person and great role model. Unfortunately, she’s also ridiculously overcommitted right now, so I don’t feel comfortable adding to her already-full plate. Are there any questions I can answer for you?”
  • “Tom, thanks so much for thinking of me. Unfortunately, I'm don't think I'm the best person to write your recommendation because I haven’t seen you manage major projects, which seems like it's a key aspect of this role. If you have another colleague who could better share your abilities, I'm sure that would better your chances for this role. Best of luck!”
  • “This is an honor—thank you so much for thinking of me! Unfortunately, with my current schedule, I wouldn’t be able to take on such an important role and give it 100%, and I would feel just terrible letting the rest of the organization down.”
  • “Hey Todd, good to hear from you. It was great working with you at Company A. I’m still getting a feel for how things work at Company B, but it seems like we’re all set with our vendor contracts. Best of luck to you!”
  • “What a wonderful cause! It’s such a shame I’ve already spent my charitable giving budget for the year on [insert favorite cause here]. Give my best wishes to your daughter!”
  • “I have a rule: If I don’t have time to see my mother, I don’t have time to meet new people for coffee. And right now, I owe my mama a visit. But seriously, I’m sure we’d have a blast and I hope you’re not insulted, but my work schedule is packed and I’ve gotta pass.”
  • “I’m so sad I’m going to miss this, but it’s my brother-in-law’s birthday, too, and I’ll be blacklisted from the family if I don’t show up. Have fun!”

“Hey Angela,

Thanks for your note.

I’m so proud of you for deciding to apply for that small business owner award—and I’m flattered that you’d like to bring my brain into the mix.

I need to say “no,” because my week is already quite full—and I know it wouldn’t be sane (or humane) for me to add anything new to my plate.

But I would love to support you in a different way.

I’ve attached a couple of worksheets that I created for a recent writing workshop—including a couple of templates that will help you to craft a bio, a manifesto, and a few other pieces for your application.

Thank you for being such a wonderful friend and colleague. I am honored to be part of your world.

Good luck with the contest! I know you’re going to do a terrific job.

Alex”

  • “Thanks so much for your email, [name]. I’ll get started on this [this week / as soon as the new product launches / after the conference]. In the interest of getting back to you promptly, could you help me prioritize the list below? Are any of the items nice-to-have? I expect it will take me [X days/hours] to pull this together, which may delay [other project]. Let me know if you’d like me to get started sooner.”
  • “Thanks so much for your email, [name]. I’ll need to get approval from [your boss or another relevant senior person’s name] to get started on this. Let me know if any of the items are nice-to-have and how you would prioritize the list below so that I can present [boss/senior person’s name] with an overview of how much time this will take to complete.”

  • “Hi [name], it’s nice to meet you. I’m quite busy with work at the moment, but do want to help and would be able to answer your most pressing question over email. What’s the #1 question that my background and experience can help you with?”

“Hey [name],

I was thinking about [name of project] on my [ride / drive / walk] into work today.

I had a few thoughts on how we could simplify the [process / project / plan / protocol]—and achieve the exact same result, or possibly an even better result, a bit more efficiently.

Could I share my thoughts with you, over coffee?

I mapped out a simple plan and I’m excited to share it.

Today at [time] would be ideal for me, but if that doesn’t work, let me know a time that does.

Thanks!

[Your name]”

“Hey, I was thinking about [name of project] and I was wondering about [describe a particular step that is super complicated].

Is there a reason why we’ve always done it that way?

If I came up with a simpler approach that could save us time and money, would you be open to hearing about it?”

“Hey, I’ve been on a major simplicity kick recently, looking for ways to streamline processes and get more done in less time.

I’ve got a plan that could help make [name of project] flow a lot more smoothly.

I’d love to share it with you and get your input.”

“Hey [manager’s name],

Thanks for agreeing to meet with me today.

I know you’ve got a lot going on, and I don’t want to add anything more to your plate, but there’s something I’d like to discuss. I’m hoping it won’t take more than a few minutes.

Before I begin, I want you to know that I’m not here to vent or complain. There’s a situation that’s come up—that I’m a part of—and I’m here to find a solution, with your help.

So here’s what’s happening:

Whenever [other person’s name] does [describe the thing that’s causing the conflict], I feel [describe how you feel].

This situation has come up several times: [describe a couple of specific incidents].

I respect [other person’s name] and I love being part of this team, but these feelings are making it harder for me to do my work, effectively. And while I can’t know for sure, I’d have to guess that this situation is affecting [other person’s name] as well.

I want to resolve this before it turns into a bigger problem, for both of us.

I’ve tried to resolve it on my own by [describe something you’ve tried], but that didn’t have the effect I was hoping for.

I know there’s a good solution, but I’m not seeing it clearly, which is why I’m here seeking some help.

I’m hoping that you might be willing to offer some guidance, hold a conversation with the two of us, or perhaps bring in an outside mediator or conflict resolution specialist.

Again: I’m not here to vent or blame. I’m aware that I’m just as much a part of this conflict as the other person. I’d really like to find a solution that makes both of us happy and strengthens the team.

Thanks for listening.”

“Hey [person’s name],

Thanks for the details and clear instructions. Much appreciated.

Here’s what’s on my to-do list right now:

[Briefly list the top 3-5 projects you’re currently working on, to reiterate your value—and busyness.]

Based on our last conversation, it feels like the projects I just listed are top priority.

Shall I keep moving forward with those, and shelve [new project] for later? That would be my preference, because I’d love to ride the momentum and get those done first.

Or is [new project] my new top priority?

Thanks for clarifying.

Happy Tuesday!

[Your name here]”

“Hey [person’s name],

Just got your note.

At our last meeting, we decided that our goals for the next few months are to [describe a few goals here], with an overall focus on [big focus here].

This project seems like a great way to [describe possible benefit here], but I’m wondering if it aligns with our bigger goals right now.

Just playing devil’s advocate here. Your thoughts?

I want to make sure I’m investing my time where it’s most needed, in the best possible order.

Let me know.

Thanks!

[Your name here]”

“Hey [person’s name],

Thanks for your note.

This project looks like a fun challenge, but—unless I’m misunderstanding your instructions—it definitely falls outside of my skill set.

It sounds like an ideal assignment for [name of other person, position, role, or team]. They generally handle projects like the one you described.

Shall I forward your instructions onto them, or would you like to take it from here?

Thanks again.

[Your name here]”

“Dear [your boss’ name],

Please accept this letter as formal notification that I am resigning from my position as [position title] with [company name]. My last day will be [your last day—usually two weeks from the date you give notice].

Thank you so much for the opportunity to work in this position for the past [amount of time you’ve been in the role]. I’ve greatly enjoyed and appreciated the opportunities I’ve had to [a few of your favorite job responsibilities], and I’ve learned [a few specific things you’ve learned on the job], all of which I will take with me throughout my career.

During my last two weeks, I’ll do everything possible to wrap up my duties and train other team members. Please let me know if there’s anything else I can do to aid during the transition.

I wish the company continued success, and I hope to stay in touch in the future.

Sincerely,

[Your name]”

TRONG CÔNG TÁC QUẢN LÝ (MANAGEMENT)

Please let me know if you have any questions or would like to discuss the offer in more detail. We would be thrilled to welcome you to the team!

(Subject)

[Job title] application at [company name]

(Body)

Hi [name],

Thank you so much for your application to [company name]. Unfortunately, we are not able to [offer you an interview / pass you onto the next round] at this time, as we are looking for someone with more experience in [skill or job requirement] for this role.

Please do not hesitate to keep in touch and reach out if we have another role you think could be a fit for in the future.

Best,

[Your name]”

“Dear Customer,

Yesterday, we learned that several shipments of our holiday gift baskets contain damaged goods due to an exceptionally turbulent flight they experienced on their way to you.

We are working around-the-clock with our transportation providers and internal teams to ensure your orders are fulfilled prior to the holidays.

At XYZ, we are always looking for ways to better service our customers. We sincerely apologize for any inconvenience this may have caused you, and are working tirelessly to ensure this issue doesn’t happen again.

Should you have any questions, feel free to contact me at [email protected].”

“[Descriptive phrase] is the phrase that comes to mind when I think about [name]. I’ve had the pleasure of knowing [name] for [length of time], during which [description of your working relationship]. Above all, I was impressed with [name]’s ability to [description of what makes person really stand out]. And, of course, his/her [personality trait]. [Name] would be a true asset for any positions requiring [1-2 skills needed for position] and comes with my heartfelt recommendation.”

TRONG VIỆC TẠO MẠNG LƯỚI CÔNG VIỆC (NETWORKING)

“Hi [name],

I hope all is well with you. As you know, I’ve been [context: looking for a new job, raising capital, working in sales at XYZ company]. I noticed that you’re connected to [target name] and was hoping that you could introduce us for [reason] if you feel comfortable doing so.

I’ve included an easy-to-copy blurb below, to provide context, but let me know if there’s any other information I can provide. I appreciate your help!

[Your name]”

OK to Intro You to a Contact?

(Body)

Hi [name],

I was asked by [referral name], a [context: e.g., smart student in my seminar / former colleague from XYZ company, good friend] for an introduction to you. I know you’re busy, but thought it could be a useful connection because [upside: e.g., you share a passion for analytics / he could be a good asset to your team / she has experience in something you want to know about].

I wanted to run it by you first, however, out of respect for your time, and I’m happy to suggest a short call instead of coffee or a meeting, depending on what you prefer. Let me know if that’s OK!

Thanks,

[Your name]”

I know Mark is very busy right now, so I don’t quite feel comfortable making the introduction. Is there anything else I can help you with?”

“(Subject)

Intro: [name 1] from [company 1] // [name 2] from [company 2]

(Body)

Hi [name 1],

Thanks so much for agreeing to talk to [name 2] about [context: e.g., her job search, what it’s like to be in your field]. I’ve copied him/her on this email so you can connect directly for [a short call / coffee meeting / drinks].

[Name 2], as I mentioned, [name 1] is [most flattering one-line description of your contact you can think of while still being truthful: e.g., “is the best sales person I know” or “is a true expert in the industry, and should be very useful”].

I’ll let you two take it from here.

Best,

[Your name]”

“I’m a [insert your job title].

Officially, my job is to [insert your clear-cut job description, e.g., seek out publicity opportunities for my company / write grant proposals / coordinate our annual healthcare conference for 5,000 people].

But really? I [insert your emotional job description, e.g., make A-list celebrities fall in love with our mission / help create miracles for underprivileged kids who still believe in magic / create the party of the year, where hardworking nurses get to kick up their heels and go buck-wild!].”

  • “But really...”
  • “Which really means...”
  • “Basically? It’s all about...”
  • “Which is a fancy way of saying...”

để đi thẳng vào việc bạn đang làm và lý do tại sao.

“Hey [name of client],

I’m so glad you enjoyed working with me, and I really appreciate the kind words in your last email. (With your permission, I’d love to quote you in the “testimonials” section of my website. Let me know if that’s OK. No pressure, and no rush.)

And while we’re on the subject of good work and nice words, I wanted to mention that I’m currently booking clients for [month], and I have room for about [number] more people on my schedule.

I love working with people who care about [subject] and are excited to [insert action here]—you know, people like you!

If there’s somebody in your orbit who might benefit from the work that I do, feel free to send them my way.

You can give them my email address, or point them to my website.

My services are listed here: [webpage]

My story is right over here: [webpage]

My client testimonial page is here: [webpage]

And that’s about it!

With appreciation,

[Your name]

PS I’m old-school when it comes to gratitude, so keep your eyes peeled for a hand-written “thank you” note (and a small gift) coming your way, via snail mail. Thanks again!”

  • “Thanks so much for reaching out—I love meeting with people and sharing my advice for breaking into finance. Unfortunately, my schedule limits me to only doing one of these meetings per week, and I’m all booked for July. Can you send me some 15-minute slots on Tuesday afternoons that might work for you in August?”
  • “Hi there, thanks for your offer for coffee. Unfortunately, my schedule doesn’t allow any coffee meetings in the coming weeks, but I’d be happy to spend 10-15 minutes on the phone with you. Would Friday afternoon at 4:30 PM work for you?”
  • “Thanks for reaching out. I’d love to answer your questions. I actually have a brown-bag session every other month at my office, where I answer lots of questions about starting a business—I’d love to have you join next month.”
  • “Thanks for reaching out. As you can imagine, I get many requests for advice on breaking into the consulting world, so I’ve compiled all of my best tips into a blog post (see the link below). If there’s more information you’d like after reading this, feel free to send over two or three questions, and I’ll do my best to answer them in a timely matter. Best of luck on your job search!”
