What You will Do:

  • Answer incoming calls in a friendly, professional and prompt manner
  • Re-direct calls as appropriate and take adequate messages when required
  • Manage agendas/travel arrangements (hotel/ flight) /appointments etc. for all the staffs
  • Ensure operation of office equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques and keep track with equipment ‘s status
  • Coordinate and maintain records for office facilities expense such as: taxi expenses, hotel, flight ticket
  • Ensure the office hygiene and security
  • Contact, review the quotation, negotiate the terms & follow up and have contracts signed in with vendors/ suppliers/clients
  • Prepare office payment – cash and bank on-line payment preparation by submitting request of payment to accountant and follow up
  • Take care of work permit, visa, resident cards for expatriates
  • Support HR Team in HCMC to coordinate arranging interviews at Hanoi office
  • Manage office supplies (stationary, equipment, namecard,…) and place orders when neccesary, verify receipts of supplies
  • Implement other administrative tasks as needed and upon request

Who You Are:

  • Good command of English and Vietnamese
  • 3+ year of experience as Office Administrator or General Affairs
  • Experience in working at foreign companies or in the same industry is a PLUS
  • Good customer service mind
  • Result-oriented mind with passion for work
  • Detail-oriented, well-organized with good sense of responsibility
  • Humble, self-motivated and be able to multi-task
