The European Chamber of Commerce in Vietnam (EuroCham) is the principle voice of the European business community in Vietnam. EuroCham was established in 1998 and is a members-based, independent, not for profit organization of European companies who are investing in Vietnam, for the benefit of all. With nearly 950 members and 16 Sector Committees, EuroCham is one of the biggest foreign Chambers of Commerce in Vietnam and among the 5 largest European Chambers of Commerce world-wide. EuroCham represents a plethora of sectors and sizes ranging from SMEs to MNCs with a very strong business network in both Vietnam and Europe. Acting as an intermediary between our members - the business community - and local, national, regional and European authorities. EuroCham advocates on its members' behalf, to generate improvements in the business environment, raise awareness on key issues and disseminate information on issues relating to doing business in Vietnam.

1. Project Officer

MAIN DUTIES

Job Title: Project Officer

Reporting to: IPR Helpdesk Project Manager,Executive Director

Job Summary: Support in biding and organising of all tenders for EuroCham to participate in and also delivery of projects if required, especially but not exclusively the delivery of the South-East Asia IPR SME Helpdesk project

Location: Ha Noi

Type of Contract:

  • 6 months fixed term contract
  • Expected start date: First half of November 2017

Key Working Relationships:

  • Internal: EuroCham Executive Committee, EuroCham staffs, Sector Committees within EuroCham
  • External: EuroCham members and other European companies in South-East Asia, Vietnamese central and local authorities, the European Delegation to Vietnam, the media, EuroCham’s partners in South-East Asia

Main Duties and Keys Performance Indicators:

  • Manage databases to enable and support the provision of the above mentioned. Such databases shall remain the property of EuroCham at all times.
  • To participate in any project and/or event contracted by EuroCham, if so desired by the EuroCham management, whereby the proceeds of such projects will be for the benefit of EuroCham. Special responsibility and support to the event manager in HN for the organization of large fund-raising events (obtaining sponsorship, co-ordinating and running such events)
  • To assist the EuroCham team in HCMC in the process of applying for projects, of selecting participants to the above mentioned projects, to participate in meetings, study tours related to these projects if so desired by the EuroCham management.
  • To build and maintain good relations with EuroCham members.
  • Representing and promoting EuroCham at meetings in Hanoi and elsewhere when requested by the Executive Director
  • To assist colleagues when required by the Executive Director.
  • Special responsibility in the delivery of the South-East Asia IPR SME Helpdesk project:
    • Manage the enquiry database in a streamline format, produce reports and statistics on different aspects of enquiries.
    • Support in organizing training events, securing experts and arranging logistics in partnership with the intermediary network
    • Support in developing IP materials and publications
    • Take care of purchasing and subcontracting activities of the project
    • Support in budget management of the project
    • Support in drafting technical and financing reports
    • Other tasks as assigned

JOB REQUIREMENTS

Education and Training Background: BA in Business Administration,Economics, Communications or a related field

Work Experience: At least one year of relevant work experience

Management Experience: No management experience required, yet a strong track record on successfully working within cross-cultural and multi-disciplinary teams.

Core Competencies:

  • Detailed and good time management skills
  • Excellent report writing and data analysis skills
  • Proven legal drafting and training development skills
  • Ability to work effectively in multi-disciplinary teams and also independently
  • Proactive, responsive, committed, accountable, client- and target-oriented
  • High standards of integrity, professionalism and personal discipline

Languages: Fluent written and spoken English (Good knowledge of another European language is an advantage)

Software and Package Skills: Good computer skills with Microsoft Office Tools, including Word, Excel and PowerPoint are required. Computer skills with management software, database software and website software are preferred.

2. Membership Assistant

MAIN DUTIES

Job Title: Membership Assistant

Reporting to: Media & Corporate Relations Manager

Job Summary: Full To be responsible for memberships, database and mass-mail management. Coordination of IT activities. To assist other colleagues/departments for a smooth running of the office.

Location: Ho Chi Minh City

Type of Contract: Services 24 months fixed term contract upon successful completion of a 2 month probation period

Key Working Relationships:

  • Internal: EuroCham staffs  within EuroCham
  • External: EuroCham members, Vietnamese central and local authorities, the European delegation to Vietnam, the media

Main Duties and Keys Performance Indicators:

Membership Management tasks:

  • To maintain and update membership directory book and its online version on a regular basis
  • Coordinates all membership relations material execution and printing, such as EuroCham’s yearly Membership Directory, Membership Card, etc
  • Is responsible for new member enrolment and renewals, in close coordination with Finance department.
  • Manage Database and CRM system
  • Have top-of-the-head knowledge of key Membership statistical indicators (e.g. number of members, geographical concentrations, key industries represented, etc).
  • Act as centralised Contact point for Questions of all members and track all member engagements with the Secretariat.
  • Supports the ongoing collection of data, improvement of data that can be extracted from the membership database (e.g. industry categories, source of member acquisition, engagements)
  • Ongoing collection of data and feedback towards the realization of the Memberships Year assessment, supported by members feedback in order to support the steering of the Marketing and Communications strategies going forward.

Membership Marketing tasks:

  • Establish membership marketing strategies based on the value added provided by EuroCham to its members, depending on the use that a given member’s business may have from being a EuroCham member.
  • Track benefits awarded to the members and employ efforts so that they are fully utilized.

Other Admin Tasks

  • To assist the management team with administrative work, in the execution of projects as required from time-to-time (events registration, arrange B2B meetings for trade mission…)
  • To prepare express bills via their CIT system to send EuroCham publication, directory, cards…
  • Other Membership or Marketing-related supporting tasks as required by the Media & Corporate Relations Manager.

JOB REQUIREMENTS

Education and Training Background: Bachelor degree in English, Business Administration

Work Experience:

  • 2 years secretarial experience.
  • Good experience in relevant business.

Management Experience: No management experience required, yet a strong track record on successfully working within cross-cultural and multi-disciplinary teams.

Core Competencies:

  • A Vietnamese national with excellent English and computer proficiency.
  • A highly motivated, flexible and dependent team player.
  • Comfortable in an international and multi-cultural environment.
  • Capable of managing the administrative tasks

Languages: Fluent written and spoken English and Vietnamese

Software and Package Skills: Computer proficiency in Microsoft Office (Word, Excel, PowerPoint) Experience with CRM system is a plus
