1. Admin Officer

Position Title: Admin Officer

Work Location: HCM City

Job status: Permanent Part-time

Report to: HR & Admin Manager

Supervise: Nil

Job Summary:

The job provides daily operational services for smooth running of office and efficient business trips of the organization

Main Responsibilities

  • Reception
    • Receive incoming calls, taking message or put through to right recipients
    • Distribute incoming mail, handle outgoing mail, prepare for courier services
    • Prepare drinking water & others for receiving guests
  • Office Maintenance
    • Check & maintain office cleanliness
    • Check & maintain office equipment & facilities function well
    • Assist maintaining a safe and secure working environment
    • Ensure the organization’s assets are well controlled and covered by asset insurance by coordinating, following up with other departments and dealing with the insurer
  • Administration Purchase
    • Estimate, request & purchase stationery & other office facilities/supplies to ensure adequate amount & quality of goods for daily operation of the office
    • Make hotel, ticket, transportation booking for staff going on business trip and guests in accordance with financial procedures
    • Review and make recommendation on buying or renewal of office rental, and other purchased goods/services for the best benefit of Habitat
    • Prepare & complete Administration payment including house rental, power, drinking water, telephone, stationary, parking, photocopier rental etc. in accordance with financial procedures
    • Make monthly expense report against budget
    • Update & complete Preferred vendor list in compliant with Procurement Policy
  • Other Responsibilities
    • Monthly prepare logistics for staff meeting in Hochiminh city office per request
    • Support HR and Admin Coordinator in preparing logistics for events like family day, annual conference, CSP & other meetings
    • Perform other related tasks as assigned by HR- Admin Manager and/or Country Director when needed

Job Requirements

  • Vocational/College in Administration, Accounting or equivalent
  • Experience in doing multi-administrative tasks in a foreign organization
  • Basic knowledge of accounting principles & procedures
  • Proficient in negotiation skills
  • Computer proficiency in MS Office and Outlook.
  • Fairly English in verbal and writing
  • Basic problem solving
  • Attention to details and well-organized spirit
  • High sense of internal customer service focus and tasks ownership
  • The job requires normal physical condition

Position Title: IT Officer

Work Location: HCM City Job status Permanent Part-time

Report to: HR & Admin Manager

Supervise: Nil

Job Summary:

Self-leading in identify & provide IT solutions to ensure IT operation of users are smoothly running and the organization’s data are properly & adequately secured in compliance with global/regional IT policies

Main Responsibilities:

  • Conduct installation of IT equipment & provide technical assistance and guideline to computer users of HFHV to ensure effective usage and fully compliance to HFHI license policy
    • Oversee the daily performance of computer systems
    • Answer user inquiries regarding computer software or hardware operation to resolve problems
    • Observe system functioning to verify correct operations and detect errors
    • Set up equipment for employee use, performing or ensuring proper installation of cables, operating systems, or appropriate software
    • Install and perform minor repairs to hardware, software, or peripheral equipment, following design or installation specifications
    • Set up license management tool and periodically check un-licensed software in HFHV laptops & computers
  • Analyze, test, troubleshoot, and evaluate existing network systems, such as local area network (LAN), wide area network (WAN), and Internet systems or a segment of a network system. Perform network maintenance to ensure networks operate correctly with minimal interruption.
    • Back up network data
    • Configure security settings or access permissions for groups or individuals
    • Identify the causes of networking problems and implement or propose solutions to solve problems in a timely manner
    • Maintain or update configuration of servers in 3 offices of HCMC, HN, and Quangnam to ensure smooth running/access to those servers in all the time
  • Data Management:
    • Plan, conduct and apply various approaches to ensure data are periodically backed up or saved on HFHV’s server
    • Structure and update data tree to ensure easily access and retrieve data
    • Follow up and ensure website domain is continuously maintained and updated
    • Follow up anti-virus software update at individual computer/laptop
    • Conduct risk assessment & propose solutions to ensure important data of HFHV are double protected for business continuity
    • Under instruction from Country Director, set users’ permission to access data on server
  • Provide on demand helpdesk services to staff in Hochiminh city office and to Hanoi & Quangnam offices through Team-viewer/remote tools
  • Work with suppliers for anti-virus license, email server, website hosting to ensure continuous update and running. Make payment of service to those suppliers
  • Deliver IT policies/regulations awareness training and regularly conduct refreshing to all staff
  • Manage Office 365 transition & management, sharepoint etc.
  • Other IT tasks: Support marketing and project staff on technical issues to ensure needed information timely on the Website

Job Requirements

  • At least College Degree in IT, Minimal 2 years of experience in helpdesk and server-client operation
  • Computer proficiency in MS Office and window environment
  • Good analytical thinking and time management
  • Proficient English in verbal and writing to communicate IT issues with Regional Office and/or Headquarter
  • Customer service oriented, and effective communication skills
  • High sense of confidentiality and tasks ownership
  • Self-development and continuous learning
