Job Description

PURPOSE OF THE POSITION:

Providing and assisting the Managing Director in his daily management activities with administration tasks and acting as a "link" between the Managing Director and all Department Heads as well as "internal customer service centre". Also providing confidential and accurate translation and support for all management meetings and company’s major events.

MAJOR RESPONSIBILITIES:

1. Providing supports to MD.

  • Performing all administrative works (handling in/out phone calls, traveling/meeting schedule, processing correspondence, expense claims…) to assist the MD in his daily management operations.
  • Coordinating with Heads of Department (HoDs) in preparation for Management Meeting’s documents (meeting agenda & meeting minutes). Acting as company’s official interpreter..
  • Translating highly confidential and sensitive document/ correspondence to and from MD if required.
  • Assisting the MD in ensuring delegated tasks to be performed by due deadlines by the HODs.
  • Coordinating with other departments for preparation and due submission of the MD's monthly, quarterly and annual reports.
  • Taking in documents from various departments across company for MD's approvals/signatures and properly returning/distributing to the respective  departments/ company/ related staff in charge.

2. Providing supports to finance department and office admin

  • Support Finance Dept. in administrative tasks.
  • Holding/controlling two Companies' stamps (Heineken Hanoi & BBI) to ensure companies documents are stamped properly with company's regulations and law requirements.

Job Requirement

  • University Degree preferred. Foreign Language/ Economics/ Business Administration
  • At least 02 years working in similar position in foreign invested company
  • Good computer, office and administrative skills

Position Summary:• To report to Database Supervisor on daily operation of updating outlet data.• To assist Sales Information team in daily operation in database related tasks.• To perform relevant data input/output, synthesis and analysis regarding to MVO, MJP• To assist Sales Information team in Trade Census project.

Key Responsibilities:

Data synthesis & analysis

  • Manage data input/output activities for MVO, MJP, RSEM, & DIS according to processes.
  • Coordinate with Sales Clerk to ensure data integrity and timeliness from relevant stakeholders.
  • Perform data analysis on ad-hoc requests and on routine.
  • Manage quarterly MVO modification activities as guided.
  • Follow and support field sales in Quarterly Price Mapping exercise.
  • Support other reports as requests.

Trade Census support

  • Monitor third-party execution of Trade Census on field.
  • Provide on field support and adjustment for agency.
  • Report on potential troubles of Trade Census execution.
  • Synthesize and produce Trade Census draft report & statistics.

On field troubleshooting & support

  • Work on field as a team to support system implementation such as:+ DIS at distributor’s location.+ MJP/RSEM on market.
  • Provide training for new users of aforementioned systems.
  • Report and follow up on support activities.

Administration

  • Arrange paperwork preparation such as printing 1MJP forms for Field Sales on regular basis.
  • Collect and store hard copies of 1MJP forms and retrieve those above as request.
  • Perform other relevant administrative tasks

Job Requirement

• Bachelor in Business Related/ Quantitative fields/ other degree with record of quantitative courses.• No PRIOR experience required. However, fresh candidate must be able to demonstrate analysis & presentation ability through a screening test.• Good attitude towards work – A can do and will do mentality.• Communication skills and patience.• Details oriented• Excel proficiency• Willing to learn and progress.• Intermediate writing and speaking.

•    Develop plan and Fully Deliver Trade program/ campaign proposal, execution, evaluation.

  • Understanding the objectives of company, Planning and building proposal for Channel   Campaigns and Activities.
  • Base on One plan & any change briefed by CMM, create and get Monthly proposal signed off, coordinate with Sales Clerk to get program registered and announce programs with needed report requirement.
  • Base on Market visit and knowledge, proposing regional approach activities to match objectives when needed.
  • Follow up trade program/ campaign to update the team and keep track for timely reaction.
  • Go market visit to keep track execution status and feedback to make programs effective.

•    POSM Management

  • Work with Supplier about design, production and installation if needed.
  • Order and manage POSM allocated and issued from system as per new PICOS and POSM plan.
  • Manage POSM in using for the right brand at the right outlet per new PICOS.
  • Order and manage POSM for Channel activation / promotion campaign.
  • Report / Accrue / Control POSM budget monthly (both PICOS & Promotional budget).

•    Budget Management

Control expenses within budget in an efficient way

Job Requirement

Requirements:

•    University degree.
