Job Title: Temporary Administration Officer

Job grade:

Reports to:

Working Location: Country Office

Unit/ Department: Administration

Effective date: November 2017

Staff directly supervised (position): No

Purpose:  

  • The position is temporary for 7 months to cover for staff on maternity leave. Vacant positions are possibly available after temporary period for application. 
  • Position will provide administrative support to the Country Office

Job Responsibilities

1. Logistic support and arrangement:  

 For visitors and expats

  • Prepare document for visa application (via PACCOM office) for visitors
  • Hotel booking for visitors
  • Collect invoices (electricity, water, telephones …) to make request for payment for related expenses of expats

For the country office:

  • Monthly collect invoices of related expenses of the office and make request for payment (office rents, electricity, drink water, telephone card, postage …)
  • Be responsible for air ticket booking for all staff travelling
  • Monthly buy, deliver and track record phone card for all Country Office staff
  • Quarterly receive parking sticker and deliver to all staff
  • Monthly budgeting for administration expenditures and take cash advance for spending and liquidation
  • Receive leave application of all Country Office staff and Program Unit Managers to update in the system file

 

2. Documentation, filing and reporting:

  • Ensure maintenance of filing document in profile and computer in appropriate manners
  • Consolidate data and do report on quarterly basis for travel report and other reports as necessary

 

3. Translation/ interpretation and others

  • Assist in translation and interpretation as per requires
  • Support to update data of procurement to system as necessary

Qualifications:

  • University graduate in related fields

Experience:

  • Working experience in administration and logistic
  • Experience with INGOs would be an advantage

Knowledge and skills:

  • Good English, both oral and written;
  • Good administrative negotiation and communication skills;
  • Good interpersonal and organization skills;
  • Able to work independently or as part of a team;
  • Aptitude for working with computers and figures;
  • Able to analyze and solve problems;
  • Discretion when dealing with confidential information.
