ChildFund Vietnam is the representative office of ChildFund Australia – an independent and non-religious international development organisation that works to reduce poverty for children in the developing world.

ChildFund’s programs are being implemented across the northern provinces of Bac Kan, Cao Bang and Hoa Binh, where the majority of people are from ethnic minority groups, often the most vulnerable or marginalised sections of the population.

JOB PURPOSE AND REPORTING STRUCTURE

The Pass It Back intern will report to Project Officer (Measuring Change);

The Pass It Back intern will be responsible for quantitative data management support of Measuring Change activity;

The Pass It Back intern has responsibility for administration and logistic support provide to ensure all project activities are implemented successfully.

POSITION SUMMARY

The Pass It Back intern has responsibility in:

  • Supporting POs to manage Measuring Change data;
  • Providing Administration and Financial Support (Government Partner Relations, Meetings and Events Organisation);
  • May supervise data entry volunteer(s) as needed.

KEY AREAS OF RESPONSIBILITY

  1. Measuring Change Activities Support (Data Collection and Verification)
  • Collect data from Measuring Change Coach Coordinators;
  • Review with Pass It Back Project Officer (Measuring Change) all data collected to ensure that they are inscription error free;
  • Enter data into database platform (by following data program techniques and procedures);
  • Verify data by comparing it to source forms;
  • Ensure that data are maintained and stored in a manner that is fully confidential;
  1. Administration Support;
  • Prepare and send out letter and paper to partner in case needed;
  • Follow up the budget expenditure and prepare process financial documents (invoices, expense reports).
  1. Meetings and Event Organisation Support
  • Scheduling and prepare for meetings including Monthly PWT meeting and Monthly Coach meeting;
  • Provide administration and logistic support required for the successful implementation of project activities (Competition, Coach Training).
  1. Translation Support
  • Support in translating document when needed (Project Proposal, Most Significant Change Stories, Coach Journal Entries);
  • Provide interpretation support when needed (Meetings, Competitions, Coach Trainings).

REQUIRED COMPETENCIES/EXPERIENCE/QUALIFICATIONS

Functional/Technical Competencies

  • Good knowledge of MS Office Excel;
  • Working knowledge of office equipment and computer hardware;
  • Basic understanding of database;
  • Great attention to detail and confidentiality;
  • Fluent English and Vietnamese in listening, writing and speaking.

Qualifications and experiences

  • University qualification;
  • Knowledgeable and a certificate in Microsoft Offices (Excel);
  • Administration experience;
  • Experience of working with a NGO is an advantage.

WORKING CONDITIONS AND OTHER ESSENTIAL REQUIREMENTS

  • This is a province based in Hoa Binh, full-time position with occasional travel to ChildFund’s program areas in Vietnam and internationally;
  • Adherence to written confidentiality policy/agreement is required;
  • The successful candidate will be offered a one-year contract. Salary will be set according to experience and qualifications, in accordance with ChildFund’s salary scale;
  • Appointment to this position is dependent upon successful completion of a Police Check and signing of ChildFund’s Child Protection policy and procedure Code of conduct;
  • Commitment and adherence to ChildFund policies and procedures is required, and
