JOB DESCRIPTION
1. Administrative Responsibilities:
- Be responsible for reception area:
• Serves visitors by greeting, welcoming, and directing them appropriately; notifies company personnel of visitor arrival; maintains security and telecommunications system as admin function (Receive calls, email, letters, fax from customers, dealers, Ecolab companies, others, etc. in a polite way as the face of Ecolab company and transfer to the appropriate people/department. Receive incoming/outgoing letters, papers, mails and transfer to appropriate departments)
- Be responsible for all admin tasks in the office:
• Supporting visitors/expats travel logistics in/out Vietnam: Responsible or coordinate with agents on expatriate services: visa, work permit, etc., take care of expat in facility and others with his/her assignment in Vietnam. Be responsible for all logistics arrangement for visitors travelling in Vietnam.
• In direct purchasing:
Oversee the preparation, analysis, negotiation, and review of contracts related to purchasing materials, supplies, products, or services;
Ensure the office is stocked with necessary supplies and all equipment is working and properly maintained;
Manage the organization’s office and storage space. Perform as liaison with various vendors, providing maintenance, security, and other occupancy services;
- Facility management: Manage cleaner and office utensil and facility.
Responsible for office facility to make sure the operation going smoothly.
Plan/ prepare/ take lead to office renovation, office expansion or office relocation if any.
- Company event/activities: Plan, schedule, and promote office events and activities, including meetings, management sharing sessions, company trip, year-end party, annual health check, etc.
2. HR responsibility
- Support HR in Talent Acquisition
- Responsible for collecting/ managing/ monitoring HR filing such as Dependent record, personal file, etc.
3. Other tasks assigned by Line Manager
REQUIREMENTS
- Bachelor’s degree in business administration, management, or related field.
- 1-2 years of experience in HR/office administration. Good working knowledge of office procedures and office management
- Experience in related fields, such as management or procurement is preferred.
- Exceptional leadership and time, task, and resource management skills;
- Strong problem solving, critical thinking, coaching, interpersonal.
- Excellent ability to effectively communicate in both a verbal and written manner;
- Proficiency with computers, especially MS Office;
- Fluent in English;
- Detail-oriented;
- Ability to plan for and keep track of multiple projects and deadlines;
- Ability to present information in a consistent, organized, and accurate way;
- Hard-working, team player, self-starter, proactive, high integrity
